Terms and Conditions

 

General

  • This is a legally binding contract between the property owner, Cove Valley Limited and the holidaymaker. The property owner is also referred to as "we" and "us".

  • The holidaymaker is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The holidaymaker is also referred to as "you".

  • The terms apply to all three properties at Cove Down Farm, Cove, Tiverton, Devon, EX167RU, United Kingdom.

Bookings

  • Cove Valley handles bookings from persons over 21 years of age. We reserve the right, without giving reasons, to refuse a booking. When you submit your booking through the online reservation system you will receive an automated booking summary e-mail, to the e-mail address provided. Please check the email for any errors. The automated email does not form a contract between you and Cove Valley cabins. Any issues must always be notified by email or telephone within 7 days following the receipt of the booking confirmation or before the start of your stay if that occurs within 7 days.

  • The balance of the rental charge, along with the breakage deposit, is payable in full at the time of booking. The booking is taken on a provisional basis until this has been paid in full and funds cleared through the banking system (where appropriate). The booking then becomes confirmed. Until the booking is confirmed, it can be cancelled at any time without prior notice.

Payments

  • Bookings made online can be paid by Visa or Mastercard. Payments can also be made over the phone by calling our office. 

  • A 30% deposit is required for bookings over 35 days away, and the balance will be automatically collected 35 days before arrival. For bookings less than 35 days away, the payment will need to be made in full.

Cancellation by the Holidaymaker

  • We understand that sometimes things don't go quite to plan, if you do need to cancel your stay below are our cancellation terms: 

  • If cancelled more than 5 weeks prior to your stay - you will receive a full credit note or refund for the amount you have paid.

  • If cancelled less than 5 weeks prior but more than 14 days prior to your stay - we can offer you a 70% refund. 

  • If cancelled 14 days or less from your stay- 100% of your booking cost will be retained unless we are able to resell your dates, in which case we can offer you a full credit note, but we have the right to charge an admin fee for reselling these dates. 

  • We reserve the right to refuse any booking or cancel any bookings subject to refunding any sums you have paid without further liability on our behalf.

  • We cannot accept responsibility or pay any compensation where the provision of the holiday is prevented or affected by reason of circumstances that amount to “force majeure”. These include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic and all similar situations beyond our control. We strongly advise guests to take out holiday cancellation insurance in advance of their trip.

Date changes

  • Where possible, we will try to help you change the date of your booking if you can no longer make it, however this is entirely at the discretion of our Customer Support team and if they cannot make a change, then the standard cancellation policy will apply. All date changes must be requested more than 4 weeks in advance of the original booking, otherwise standard cancellation policy will apply.

Cancellation by the Property Owner

  • The property owner will endeavour to make sure the stated property is available for the dates contracted. In the unlikely event the property becomes not available and the property owner has to cancel the booking, the property owner will endeavour to find the holidaymaker suitable alternative accommodation. If suitable alternative accommodation cannot be found, the holidaymaker shall be entitled to a full refund. The property owner shall only be liable to return the monies received. No compensation or consequential losses shall be paid.

Gift Cards

  • Cove Valley Gift card is not a cheque, credit or charge card.

  • The minimum amount required to activate a Cove Valley Gift Card is £50. 

  • You may use the Cove Valley gift card online at www.covevalley.co.uk only.

  • Gift cards are valid for 12 months from the time of purchase.

  • When you use the Cove Valley Gift Card, the amount of your booking will be deducted from the balance on the card. Any remaining balance may be applied to future bookings or purchases.

  • The Cove Valley Gift Card cannot be redeemed or exchanged for cash or vouchers. Purchases of gift cards are non-refundable.

  • Cove Valley cannot be held responsible for lost, stolen or damaged cards or for any unused amounts on those cards.

  • All refunds/cancellations of goods purchased with the Cove Valley gift card will be made following Cove Valley’s refund policy. This does not affect your statutory rights.

  • Cove Valley will cancel the value of the gift card if we fail to receive payment from the purchaser's bank or card company for the initial purchase of the card. Further action may be taken where the fraudulent use of a credit card is suspected.

  • If you have any issues with using your Cove Valley gift card, please get in touch with our team.

  • The 3 for 2 weekend offer for Hopi can not be redeemed during the months of June, July & August.

Miscellaneous

  • Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made and some things do change. The holidaymaker accepts that no refunds are available for such discrepancies.

  • The property owner reserves the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.

  • The property owner is entitled to ask the holidaymaker to leave the property without any refund if, in the property owner's opinion, the behaviour of the holidaymaker and/or his/her party is unacceptable.

  • The property owner reserves the right to refuse entry to anyone, who in the property owner's opinion is not suitable to or capable of taking charge of the property.

  • The property owner reserves the right to ask the holidaymaker and their party to leave the property, without refund, should the behaviour of the holidaymaker and/or their party be considered by the property owner to be unreasonable.

Occupancy

  • The maximum number of people entitled to stay at this property is 2 and furthermore, only those people named on the booking form are entitled to stay. If it is found that more people than agreed are using the property, this will be considered a breach of contract and the holidaymaker and his/her party will be asked to leave immediately without any refund. Sub-letting of the property is prohibited. Sadly, we cannot accommodate children under the age of 12 years old due to health and safety. 

  • Group bookings are accepted entirely at our discretion. 

Pets

  • Unfortunately, pets are not allowed in the cabins or on the site due to the nature recovery aspect of the site. 

Arrival and Departure Time

  • Every effort will be made to have the property available from 15:00 on the day of arrival. The property must be vacated by 11:00 on the day of departure. Late departure will result in an additional charge being made. 

Liability

  • The property owner takes no responsibility for the personal possessions of the holiday maker or the holidaymaker's party. Vehicles and possessions are left entirely at the risk of the holidaymaker. Cove Valley shall have no liability for any death or personal injury unless this result from the negligence of Cove Valley.

Damages / Breakages & Cleaning

  • The holiday maker should make every effort to keep the property, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday. 

  • When the balance is paid, a cautionary deposit of £125 will also be held. Upon inspection of the cabin, if no loss or damage is discovered, we will provide you with a full refund of the cautionary deposit within 7 working days. If any loss or damage is discovered, we will inform you of the amount deducted from the deposit. However, if the cost of repairing any loss or damage to the cabin or contents exceeds the cautionary deposit, we will invoice you and charge your credit or debit card.

  • The holidaymaker and party are responsible for leaving the accommodation in good order, clean and tidy and in the same condition as they found the cabin on arrival. The property owner retains the right to make an additional charge for cleaning should the property not be left in a similar condition to the way it was found at the start of the holiday.

Return of Breakage Deposit

  • Your breakage deposit, minus any deductions, will be returned to you within 5 working days of the departure.

Complaints

  • Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from time to time things do go wrong. In these circumstances, it is the responsibility of the holidaymaker to make any such problem known to the property owner (or their representative) immediately it becomes apparent, thereby giving the property owner the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.

  • The property owner will make every endeavour to rectify any identified problems as soon as is reasonably possible.

Onsite regulations 

  • In order to make the stay at Cove Valley as pleasant as possible, all guests must keep to rules of behaviour listed here, behaving in a considerate and safe manner to all people and animals onsite. To respect fellow glampers we ask that there are no high noise levels after 9.00 p.m, with all noise to stop by 11.00 p.m. We do not allow amplified music.

  • The fire pits/ BBQs fire bowls must be kept within the designated areas and at a minimum of 1 metre from your accommodation, and only wood provided from us can be used for wood burning stoves /fire bowls. Fireworks and sky lanterns are not allowed as they pose a risk of fire and are a danger to livestock.

  • If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund. 

  • Please note that essential maintenance activities may be carried out on or in the accommodation during your stay without you being entitled to any compensation.

  • We hope you love the natural environment as much as we do! We ask that you consider the Countryside Code including the following:

  • Leave gates as you find them, closing a gate if found closed.

  • Keep to public footpaths.

  • Do not walk across crops (this includes long grass).

  • Leave no trace on the land. We provide a variety of bins in your accommodation. There are opportunities for recycling through our labelled bin system and we are a zero-to-landfill site so our rubbish is handpicked for sorting so please be considerate in how you dispose of unpleasant items.

No smoking policy

  • The cabins are NO SMOKING PROPERTIES. Smoking is strictly prohibited inside the cabins. Failure to comply will result in an additional fee of £400 to cover deep cleaning and re-decoration. Any guests smoking outside of the cabin are responsible for disposing of their cigarette buts in a bin and must not litter the surrounding area.

Personal Details

  • In order to process the booking, Cove Valley will need certain information from the guest about the party. It may be used for administration purposes solely by Cove Valley and for sending the guest future promotional or marketing literature. Any information will remain confidential and is protected under the Data Protection Act 1988. 

Law

  • The contract between the guest and Cove Valley is governed by English Law. Any dispute the guest has with Cove Valley shall be dealt with in an English Court of Law.
